Cyphex Mail is a Project of Cyphex Agency
These Terms of Service (“Terms”) constitute a binding commercial agreement between your organization (“Customer”, “you”) and Cyphex Agency (“Cyphex”, “we”, “us”), a remote-first digital engineering firm reachable at cyphex.agency. By registering, provisioning inboxes, or accessing Cyphex Mail at mail.cyphex.agency, you acknowledge that you have read, understood, and agree to these Terms.
1. Scope of Services & Flat Pricing Mandate
Cyphex Mail provides full-stack enterprise email infrastructure, custom webmail interfaces (mail.yourdomain.com), department-based team channels, 24/7 smart reply automation, and DNS deliverability management.
Zero Per-User Seat Tax: Under our core operating model, customer organizations are billed a predictable flat subscription fee (Monthly or Annual) regardless of whether they provision 5, 25, 50, or 100+ team members or aliases. We do not retroactively penalize customers for growing their headcount.
2. Turnkey DNS Engineering & Amazon SES Setup
For customer domains, Cyphex Agency engineers configure the full complement of DNS records required for pristine inbox placement:
- Custom Inbound MX records and routing to our Cloudflare edge worker ingestion cluster.
- 2048-bit RSA DKIM cryptographic signatures verified by Amazon SES.
- Hardened SPF (Sender Policy Framework) and strict DMARC alignment records.
Turnkey setup is completed in 2 to 4 hours following domain verification. For annual subscriptions, all setup fees are 100% waived.
3. Customer Data Ownership & Privacy Guarantee
100% Customer Ownership: You retain complete, unrestricted ownership of all email messages, customer correspondence, attachments, contact lists, and domain configurations. Cyphex Agency does not own, license, resell, or distribute your email data.
Zero AI Model Training: We adhere strictly to Google API User Data Policies and international confidentiality standards. Your proprietary communications and company knowledge docs are NEVER used to train, retrain, or fine-tune public artificial intelligence models.
4. Two-Factor Authentication & Security Policy
To protect against credential stuffing and brute-force intrusion, all administrative and staff mailboxes are subject to mandatory Two-Factor Authentication (TOTP). Customers are responsible for safeguarding their master authenticator secrets, emergency recovery backup codes, and team access credentials.
5. Acceptable Use & Anti-Spam Compliance
Customers must strictly comply with our Acceptable Use Policy. Cyphex Mail may not be utilized to transmit unsolicited commercial spam, fraudulent phishing communications, or malicious attachments. Any violation results in immediate account suspension to protect global IP pool reputation.
6. Billing, Payment Methods & Cancellation
Local & International Settlement: We accept payments via Raast Instant Pay, Bank IBFT, NayaPay/SadaPay (Pakistan local settlement with zero forex fees), and major international Credit/Debit cards.
Automatic Renewal & Cancellation: Subscriptions renew on a monthly or annual billing cycle. You may cancel your subscription at any time directly through your User Portal or via WhatsApp concierge with no cancellation penalties.
14-Day Money-Back Guarantee: If our engineering team is unable to verify your domain DNS or achieve satisfactory deliverability within your first 14 days, you are entitled to a 100% full refund upon request.
7. Service Level Agreement (SLA) & Liability
We guarantee 99.9% monthly service uptime in accordance with our Service Level Agreement. In the event of unplanned downtime exceeding SLA thresholds, eligible accounts receive monthly invoice service credits.
To the maximum extent permitted by applicable law, Cyphex Agency's total aggregate liability arising out of or related to these Terms shall not exceed the total amount paid by Customer for Cyphex Mail during the twelve (12) months preceding the incident.
